By accessing or using PilotLedger's cloud-based accounting software platform ("Service"), you agree to be bound by these Terms and Conditions. If you are using the Service on behalf of an organization, you represent that you have the authority to bind that organization to these terms. If you do not agree to these terms, you may not access or use the Service.

2. Description of Service

PilotLedger provides a cloud-based accounting software solution designed for businesses of all sizes. Our Service includes, but is not limited to:

  • Financial transaction recording and management
  • Invoice creation, sending, and tracking
  • Expense tracking and categorization
  • Financial reporting and analytics
  • Bank account reconciliation
  • Multi-user collaboration and access controls
  • Data export and integration capabilities

3. Account Registration

To use our Service, you must create an account by providing accurate, complete, and current information. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You agree to notify us immediately of any unauthorized use of your account. PilotLedger reserves the right to suspend or terminate accounts that violate these terms or contain false information.

4. Subscription Plans and Pricing

PilotLedger offers various subscription plans with different features and pricing. By selecting a subscription plan, you agree to pay all applicable fees as described at the time of purchase. Subscription fees are billed in advance on a monthly or annual basis, depending on your selected billing cycle. Prices are subject to change with 30 days' notice. Any price changes will take effect at your next billing cycle.

5. 7-Day Refund Policy

We offer a 7-day money-back guarantee on all new subscriptions, no questions asked. If you are not completely satisfied with our Service for any reason, you may request a full refund within 7 days of your initial purchase.

  • Eligibility: The refund policy applies to new subscriptions only. Renewals and upgrades are not eligible for refunds.
  • How to Request: To request a refund, contact our support team at support@pilotledger.net within 7 days of your purchase date.
  • Processing Time: Refunds will be processed within 5-10 business days and credited to your original payment method.
  • Account Access: Upon refund approval, your account will be downgraded to the free tier or terminated, and you will lose access to paid features.
  • No Questions Asked: We respect your decision and will process your refund without requiring a reason or explanation.

6. Cancellation Policy

You may cancel your subscription at any time through your account settings or by contacting our support team. Upon cancellation, you will retain access to paid features until the end of your current billing period. After that, your account will be downgraded to the free tier. We do not provide prorated refunds for partial billing periods outside of our 7-day refund policy.

7. User Responsibilities

As a user of PilotLedger, you agree to:

  • Provide accurate financial data and maintain the integrity of your records
  • Use the Service only for lawful purposes and in compliance with applicable laws
  • Not share your account credentials with unauthorized parties
  • Not attempt to access other users' data or accounts
  • Not use the Service to transmit malware, viruses, or harmful code
  • Not reverse engineer, decompile, or attempt to extract the source code of our software
  • Not use automated systems or bots to access the Service without our permission

8. Data Ownership and Portability

You retain full ownership of all financial data, documents, and information you upload or create within the Service. PilotLedger does not claim any ownership rights over your data. You may export your data at any time using our export tools. Upon account termination, we will retain your data for 30 days to allow for data export, after which it will be permanently deleted unless required by law.

9. Service Availability and Support

We strive to maintain 99.9% uptime for our Service. However, we do not guarantee uninterrupted access and may perform scheduled maintenance with advance notice. We provide customer support via email and in-app chat during business hours. Response times vary based on your subscription plan, with priority support available for Professional and Enterprise customers.

10. Intellectual Property

The Service, including its design, features, code, documentation, and branding, is the exclusive property of PilotLedger and is protected by intellectual property laws. Your subscription grants you a limited, non-exclusive, non-transferable license to use the Service for its intended purpose. You may not copy, modify, distribute, or create derivative works based on our Service without written permission.

11. Limitation of Liability

PilotLedger is provided "as is" without warranties of any kind. We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service. Our total liability shall not exceed the amount you paid for the Service in the 12 months preceding the claim. This limitation applies regardless of the legal theory upon which the claim is based.

12. Indemnification

You agree to indemnify and hold harmless PilotLedger, its officers, directors, employees, and agents from any claims, damages, losses, or expenses arising from your use of the Service, violation of these terms, or infringement of any third-party rights.

13. Modifications to Terms

We reserve the right to modify these Terms and Conditions at any time. We will notify users of material changes via email or through the Service at least 30 days before they take effect. Your continued use of the Service after the effective date constitutes acceptance of the modified terms. If you do not agree to the changes, you may cancel your subscription before they take effect.

14. Governing Law and Disputes

These Terms are governed by the laws of the United States. Any disputes arising from these terms or your use of the Service shall be resolved through binding arbitration in accordance with the rules of the American Arbitration Association. You agree to waive any right to participate in class action lawsuits against PilotLedger.
