Accounting software pricing should be easy to predict. PilotLedger charges a flat monthly or yearly subscription per company: no per-invoice fees, no per-customer charges (customers are unlimited on every plan) and no paid add-ons for the reports. The plan cards above always show the current prices and what each plan includes.
What every plan includes
Every PilotLedger plan, including Free, runs on the same double-entry ledger, with the chart of accounts, journal entries, all 11 reports, inventory, bills and credit notes. Invoices, payments, bills and expenses post balanced entries automatically, so the numbers in your reports agree with each other on day one. Customers, vendors, items and expenses are unlimited on every plan. Free caps invoices and quotes at 10 invoices and 10 quotes a month; paid plans remove those caps, add users and switch on extra modules:
- Customer portal and bank reconciliation: Starter, Growth and Business (from $14.99/month).
- Multi-currency: Growth and Business (from $34.99/month).
- Period close (lock date and close checklist): Business ($69.99/month).

How PilotLedger pricing compares
As of October 2026, regular list prices for the best-known tools start at around $38/month for QuickBooks Online Simple Start (one user), $23/month for FreshBooks Lite (up to five billable clients) and $25/month for Xero Early (capped invoices and bills). Multi-currency is where the gap is widest: QuickBooks includes it from Essentials (around $85/month) and Xero only on Established (around $90/month), while PilotLedger Growth includes it for $34.99/month with 5 users. The real cost of accounting software
The subscription is rarely the biggest cost. Three things matter more:
- Per-user fees. Adding a partner and a bookkeeper can double the bill on tools that charge per seat. Check how many users each plan includes.
- Your time. Software that keeps a proper ledger and makes bank reconciliation straightforward saves hours at month end and at tax time.
- Your accountant's time. Clean books with a balanced trial balance mean a smaller year-end bill. That's the main reason PilotLedger is double-entry on every plan, including Free.
Billing, refunds and cancellation
Paid plans are billed monthly or yearly by card through Stripe, and yearly billing is cheaper where a yearly price is shown. Every paid plan has a 7-day money-back guarantee. Pricing questions
Is PilotLedger really free?
Yes. The Free plan costs nothing, needs no credit card and doesn't expire. It includes 1 user, 10 invoices a month, unlimited customers, on the same double-entry ledger and reports as the paid plans. Bank reconciliation and the customer portal start on Starter ($14.99/month). Upgrade only when you need more users, more invoices or those features.
Is there a discount for paying yearly?
Yes. Paying yearly saves up to 18% compared with paying monthly. Each plan card shows its own yearly price and saving, and you can switch between monthly and yearly billing from Settings → Billing.
What payment methods do you accept?
Subscriptions are paid by credit or debit card through Stripe, our payment processor. PilotLedger never stores your full card number. Invoices for your subscription are available in Settings → Billing.
Do you offer refunds?
Yes. Every paid plan comes with a 7-day money-back guarantee. If PilotLedger isn't right for your business, contact support@pilotledger.net within 7 days of your first payment and we'll refund it in full.
Can I change or cancel my plan at any time?
Yes. Upgrade, downgrade or cancel from Settings → Billing. Upgrades apply straight away. Before cancelling, export any reports and lists you want to keep; if you have questions about a recent charge, email support@pilotledger.net.
How many users can I add?
It depends on the plan: Free includes 1 user, Starter 1 user, Growth up to 5 users and Business up to 15 users. Each user gets their own login and a role that controls what they can see and do, so you can invite an accountant or bookkeeper safely.
Are there any hidden fees?
No. There are no setup fees, per-invoice fees or charges for reports. The only cost is your plan's subscription. PilotLedger doesn't process card payments on your invoices, so there are no payment processing fees from us either.
